Only Annual Meeting attendees who have first completed the meeting registration process will qualify to make hotel reservations at the two AALS convention hotels at AALS group rates. After completing the meeting registration process, you will receive a confirmation email from AALS containing a link with instructions for making a hotel reservation along with list of AALS convention hotels, locations, group rates and reservations methods (online, phone, mail, fax). Hotel reservations can only be made through the AALS official Housing Service, Destination DC/Experient, through the methods listed in the confirmation email. AALS convention hotels will only accept reservations made through the AALS Official Housing service. The housing process is designed to ensure that AALS group rate hotel rooms are reserved by those that are registered for the Annual Meeting—its attendees and exhibitors.

Acknowledgement of Reservation: Destination DC/Experient will email an acknowledgement of your reservation assignment within 72 hours of processing your reservation. Room reservations made by phone will be confirmed immediately with an acknowledgement number. Attendees can contact the assigned hotel directly a week prior to arrival for the hotels’ confirmation number.

Deadline: Reservations must be made by December 28, 2011. If you have not made your reservation by December 28, please visit the website www.aals.org/am2012/ for instructions about hotel availability and how to reserve a room.

Arrival and Departure: Please provide your arrival and departure information when making your reservation. Rooms are available as early as January 2, 2012 and as late as January 9. However, only a few rooms are available at the convention rate at either end of this period.

Occupants in Room: If sharing rooms, please designate one person to make the reservation. List all occupants including children and their ages. Children under the age of 18 may stay free of charge in parent’s room. For individuals 18 and over sharing a room, there is an additional charge of $20 per person for more than two people sharing a room. You will need to notify the hotel at check in if any of the guests in your room are under the age of 18 and exempt from the extra person charge.

Reserving a Suite: To review hotel suite information, please visit the AALS website (www.aals.org/am2012) and review the suite memo. This memo includes descriptions and diagrams of each suite. When making your suite reservation, please provide the hotel name, suite type and rate. If the suite you request is unavailable, Destination DC/Experient will contact you to discuss an alternate suite. Assignment of suites is subject to AALS approval and requires your completed meeting registration.

Disability:

The Marriott Wardman Park Hotel is in compliance with the Americans with Disabilities Act. All public areas are accessible and sleeping rooms with special accommodations are available for those with disabilities. Please list any special requirements for your sleeping room on the AALS Housing Reservation Form. If you require a disability-related accommodation, please call the Meetings Department at the AALS National Office by Friday, November 5, 2011 at (202) 296-8851 or email disability@aals.org.

Credit Card Guarantee:

A valid credit card with an expiration date of January 2012 or later is required to secure your room reservation. Credit cards will not be processed prior to your arrival. Your credit card will be charged one night’s stay plus tax if you fail to cancel before 6:00 p.m. day of arrival or if you fail to check in on your scheduled arrival date.

Prefer paying by check? A credit card is still required to reserve a room even if you intend to pay the hotel by check. A check in the amount of one night’s stay and tax must be sent directly to the hotel after December 20, 2011 and prior to December 27, 2011. A copy of the reservation acknowledgment from Destination DC/Experient must accompany the check.

Changes and Cancellation:

Reservations may be changed or cancelled anytime after receiving your acknowledgement. Before December 21, contact Destination DC/Experient— the contact numbers will be provided on the acknowledgement. You will also be able to make changes online using the link provided on your confirmation email.

For changes and cancellations as of December 21, wait until December 23 and contact the hotel directly. The hotel phone numbers will be provided on the acknowledgement or can be provided by Destination DC/Experient.

Cancellation: Cancel by 6:00 p.m. on your expected date of arrival to avoid one night’s room and tax being charged to your credit card.
